Job terms: Full-time Fixed-Term Contract (up to 12 months duration), maternity replacement (35 hrs./week)

Position Title: Assistant Manager – Settlement Services
Position Summary:
The position will report to the Settlement Manager and will be responsible for coordinating the day-to-day settlement work, well being, youth settlement counsellors, employment facilitator, outreach and support workers and volunteers.
Responsibilities (include but are not limited to):
- Develop annual work plans and review, monitor, evaluate and enrich programs to ensure high quality service that meets/exceeds contractual obligations and is supported by effective marketing strategies
- Create and regularly update program/project records on file and maintain on shared drive.
- Support the planning and delivery of the group sessions including the recruitment of guest speakers, volunteers and other community resources.
- Develop and compile resources relative to newcomers changing needs and updating them as needed.
- Recommend new and/or revise policies or program procedures as necessary and ensure all organizational and program policies/procedures are followed
- Provide support to complex cases and provide guidance to staff as necessary
- Support Settlement Counsellors in developing and maintaining client files in accordance with client privacy and confidentiality policies
- Compile and analyze statistical data, as required by funders and the organization, to ensure that counselling and workshop targets are met and develop plans to address underachievement in targets.
- Track iCARE validation/uploading of OCMS registration on a weekly basis
- Assist with creating program/ project updates, success stories, pictures, flyers..etc.
- Social media fan, with the ability to assist with creating flyers and posting them with captions onto various social media platforms.
- Follow up with program/project activities on a quarterly / annual basis.
- Conduct regular audit of client files; supervise the distribution of tokens etc.
- Prepare staff schedules and manage vacation coverage.
- Establish and maintain excellent working relationship and communication with internal and external groups to provide services to clients
- Submit monthly progress reports to the Settlement Manager
- Performs other duties as assigned
Qualifications:
- Bachelor’s degree in Community Development, Humanities, Counselling or Social Work
- Minimum 5 years experience in settlement work
- Supervisory/lead experience would be an asset
- Strong written and verbal communication skills; Fluent in English is a must. Additional fluency in other languages will be an asset
- Empathic, respectful, and discrete; remains tactful and patient during stressful situations
- Knowledge of the Canadian legal, political, cultural, educational, and economic systems
- Broad-based knowledge of community and government resources to refer clients
- Ability to work in a team environment, as well as a capacity to self-motivate and work independently
- Excellent knowledge of MS Excel, Powerpoint using database, social media platforms and preferably working knowledge on OCMS/iCARE systems.
- Mobility to move between different office locations as required
- Ability to attend outdoor events when necessary
- Ability to work with tight deadlines under pressure.
